Associate Director, Alumni and Parent Relations

Haverford College seeks to hire a full time, exempt (37.5 hours), benefits eligible Associate Director, Alumni and Parent Relations whose responsibilities include: enhancing and supporting specific affinity group initiatives, reunion class and Alumni Weekend programming, overseeing parent communications initiatives, and leading multiple academic programming efforts.

Essential Functions & Primary Responsibilities:

Together with the entire Alumni and Parent Relations (APR) team, think critically, strategically, and creatively about the ways in which alumni engage with the College and with one another. Help to implement and execute programming to strengthen this engagement – in person and virtually – within the context of the alumni lifecycle and in alignment with fundraising efforts.

Affinities

  • Design, grow and manage the programming of assigned affinity networks within the alumni body, and between the alumni body and the campus community, in order to more thoughtfully engage alumni by profession, age/generation, gender, race/ethnicity, special interest, etc.
  • Spearheads emerging affinity programs such as the Media, Entertainment, and Sports Affinity, the Education Affinity, the Tech Affinity and the Bi-Consortium Health Affinity. The Associate Director will work with identified volunteers, or identify new volunteers, in each of these affinities to advance the programs in accordance with best practices, and help them achieve program maturity. Over time, affinity program assignments could change.
  • Serve as the first point of contact for potential alumni volunteers who are interested to explore the creation of a new affinity groups, and thoughtfully and strategically evaluate alumni interest in potential new groups and well as the institutional priorities.
  • Coordinate and manage communications for Haverford parents as part of a two-person parent engagement partnership.
  • Think strategically and creatively about the communications devices used to engage parents.
  • Direct parent communications including, but not limited to, Transitions newsletters, parent welcome packets, etc. by identifying parent writers and cogent article topics.
  • Respond to all parent questions and concerns, directing parents to other resources and colleagues within the college community, when appropriate.
  • Explore and consider opportunities for engaging legacy students and families. Lead a peer benchmarking project and make recommendations for Haverford, as appropriate.

Reunions

  • With the assistance of the entire APR team, and in partnership with Individual Giving, support the conceptualization and implementation of a successful reunion program. While managing assigned reunion classes and projects, help to ensure strong class gift results through extensive peer-review processes, and serve as an active planning member of the Reunion Mini Team. Reunion-related duties require extensive volunteer recruitment, management, and training. Be prepared to accept responsibility for one-off reunion programming needs/responsibilities as they arise.
  • Manage the 30th, 35th, 55th, 60th, and 65th (if applicable) reunion planning committees by:
    • Forming large and active reunion volunteer committees 12 months prior to reunion,
    • Setting and achieving aggressive dollar and participation goals for reunion classes,
    • Holding in-person or virtual peer reviews with all fundraising volunteers,
    • Creating a structure for volunteers to reach out to members of their class,
    • Training volunteers to be comfortable advocates of the College regarding reunion fundraising efforts and social planning work,
    • Sharing in the effort to achieve the Alumni Weekend attendance goal for FY19, and
    • Coordinating assigned Alumni Weekend features/programs including off-site museum tours, all Havercamp and Family Fun Fair pre-planning, planning the post-event Staff Celebration Brunch, and other needs as assigned.

Campus and Academic Partnerships

    • Support the programming needs of the Center for Career and Professional Advising (CCPA) by managing alumni/student networking events, marketing CCPA efforts/programs to various alumni cohorts, and assisting with the identification of alumni speakers/partners who could meet CCPA programming needs. Partner with the Senior Associate Director, Alumni and Parent Relations and Director, Alumni and Parent Relations to continually expand alumni/student programming.
    • Operate as the main Alumni and Parent Relations staff contact for academically related on-campus student programs which feature, and/or are sponsored by, alumni. This role will be attending campus partner planning meetings, coordinating with partners on speaker recruitment efforts, and overseeing all alumni focused communications efforts. These signature events include, but are not limited to, the annual Public Policy Forum, and the Ethical Leadership Summer Institute.
    • Entrepreneurially liaise with academic centers (such as the Center for Peace and Global Citizenship (CPGC) and the Haverford Innovations Program (HIP)) in partnership with the Senior Associate Director, Alumni and Parent Relations to support the centers’ programming goals with alumni resources.
    • Expand the partnership between Athletics and Alumni and Parent Relations in cooperation with the Senior Associate Director, Alumni and Parent Relations. Goals include, but are not limited to, building new programming, increasing the volume of activities, supporting team based alumni/student events, and overseeing the marketing of Athletics related efforts/programs to alumni team cohorts.

Additional Duties

    • Assist with the execution of College-sponsored programs by:
      • Running point on one-off events that arise in the regions and/or on-campus that are deemed ‘College-sponsored’ and manage all details of and communication surrounding the creation and execution of successful events. Internal communication required to make Institutional Advancement staff and other campus partners aware of events in order to streamline staffing, attendance, and visibility of such activities.
    • Support, as needed, the efforts of the Alumni Association Executive Committee (AAEC) and its subcommittees as determined by the Director, Alumni and Parent Relations.
    • Maintain all electronic systems as it relates to this work, including but not limited to, the website, departmental calendars, FinalSite (registrations), MailChimp (email), Raisers Edge (database), and social media platforms.
    • Other duties as assigned.

Education, Training, and Experience:

  • Candidates with 2-3 years of event and/or volunteer management experience are preferred
  • Bachelors’ degree required
  • Familiarity with a liberal arts setting, as well as Haverford’s mission and priorities is favored
  • Ability to work independently and as a member of a team, to prioritize work efficiently, and to meet deadlines while maintaining a positive attitude is required
  • Must be able to think critically, strategically, and creatively about the tasks and progress of the Alumni and Parent Relations team
  • Facilitate information in order to assist in the success of Alumni and Parent Relations and Individual Giving efforts
  • Must be calendar driven
  • Must be able to handle confidential materials and situations with sensitivity, tact, and discretion
  • Ability to carry out multiple activities/projects concurrently is expected
  • Must be proficient in Microsoft Office, have a working knowledge of social media, and a basic familiarity with email and website building programs
  • Demonstrated writing skills a plus

Special Requirements:

  • This position will be required to perform both evening and weekend work. Occasional travel for events may be needed
  • Possession of a valid U.S. drivers’ license, and ability to pass a Motor Vehicle Record check are required
